How to use DUO

Multi-Factor Authentication for HR Direct

As of August 1, 2017 the President’s Office will require the use of a product called DUO Two-Factor Authentication to access PeopleSoft HR Direct. This action requires employees to verify identity using a second factor (i.e. cellphone, work phone, home phone or other mobile device) when logging in to PeopleSoft HR Direct.

What Is DUO and Why Are We Using It?

How Do I Get Access to DUO? 

The first time you login to HR Direct (After 6AM on August 1), you will be prompted to setup your DUO profile. You will be asked to provide a primary phone number and to install the DUO app on your mobile device, assuming you choose a mobile phone.

How Does DUO Two-Factor Work?

After logging in with your name and password, you will be asked to authenticate with your second factor. When you first setup DUO, you will be asked if you want to use a specific authentication method or if you would like to choose the authentication method each time. If an option is not chosen and “Saved,” the default will be to “Ask me to choose an authentication method” each time you login. Alternatively, if you chose to use a specific authentication method the ability to “Remember me for 30 days” is unavailable until you cancel the authentication method.  

DUO provides the following authentication options:

Mobile Devices

  • DUO Push (this is the recommended and most secure solution where you choose Approve or Deny from the mobile app)
  • Call Me (DUO places a phone call to your mobile, office, home, etc…where you press a particular # to Approve or Deny)
  • Passcode (Passcodes can be sent as text messages, provided through the app or from calling the Help Desk)

Landlines

  • Call Me (DUO places a phone call to your mobile, office, home, etc…where you press a particular # to Approve or Deny)
  • Bypass Code (this option only shows when using a landline and you need to call the Help Desk for a bypass code)

Do I Need To Use DUO Every Time I Login?

Yes, unless you check the box that says “Remember me for 30 days.” By checking the "Remember me for 30 days" checkbox, any subsequent logins during the next 30 days with the same browser/device combination will not require the use of DUO. Please note, if you access HR Direct from a different browser on the same device or from a different device during this time, you will be prompted for your second factor.  Also, if you clear browser cache or update settings in your browser to automatically clear cache, you will be prompted for a second factor when logging into HR Direct. Lastly, if you chose to use a specific authentication method each time the ability to “Remember me for 30 days” is unavailable until you cancel the authentication method.
